How To: Creating simple reports in Tattoo Management Studio Express Edition

A question about the report designer came in recently, and we thought it would be a good first topic for the blog here.

The report was simple: how to pull a list of customers with their e-mail addresses. We’ll duplicate this report here.

First, in Tattoo Management Studio Express Edition, go to the Reports list, and click “New” to bring up the Report Wizard.

Type in a Report Name, for instance, “Customer E-mail List.”

Select a Data Type. Data Types represent different objects in Tattoo Management Studio Express Edition which contain data. For example, the Customer data type will get you a report that allows you to access Customer Data, Service data type will access Service data, etc… Our built-in Receipt report is based on the Customer Invoice data type. For this particular report, select Customer.

For report type you can choose either “Standard” or “Label.” A Standard report is what we’ll use here, a Label report is for repeating data such as printing address labels on Avery labels. We’ll use a Standard report here.

When you click “Next” you’ll see a list of available fields you can add to the report. (More fields are available in the Report Designer. For instance, you’ll notice Address is not included here.)

Double click “Full Name” and “Email” to add them to the “Fields to display in a report” list box. If you want to see other fields, such as Birthday, or Gender, you could add them here as well.

Click Next and you’ll see the Grouping Levels screen. We’ll do nothing with this for this report.

Click Next and you’ll see the Layout Screen. For this particular report, select Tabular to display columns of data.

Click Next and you’ll be able to pick a report style. This is personal preference, so pick anything you’d like here.

Click Next and add a title to  the report. Call this “Customer E-mail List”

Click Finish and the report is done! The Report Designer will open up and you can make further modifications there, or you can Save and Close it to run.

When you run this report, all customers will appear whether they have an e-mail address or not. In the next post, we’ll show you how to sort the list by name & filter the list to only include customers with e-mails.
